1.Our approach

Shivtensity Private Limited operates BetterSleep. This policy explains what we collect, why, how long we keep it and what control you have.

Sleep is personal, and much of what you share with us is sensitive health information. We collect the minimum we need to help you, we do not sell it, and we do not use it for advertising.

2.What we collect

Information you give us directly:

  • Identity and contact details — name, email address, WhatsApp or phone number
  • Sleep Pattern Assessment responses
  • Health-related information you choose to share — sleep history, diagnoses, medication, mental health, lifestyle, substance use
  • Notes we record during consultations
  • Messages you send us over WhatsApp or email

Information collected automatically when you visit the site:

  • Basic technical data such as browser type, device type and approximate region
  • Pages visited and referring links, used only to understand general site performance

We do not collect or store your full payment card details. Those go directly to our payment provider.

3.Health and sensitive information

Information about your sleep, mental health and medication is sensitive personal data and receives extra care. We process it on the basis of your explicit consent, given when you enrol and complete the assessment.

You can withdraw that consent at any time by contacting us. Withdrawing it means we can no longer deliver the programme, since the work depends on understanding your history.

4.How we use your information

We use what you share to:

  • Prepare your personalised sleep report and weekly plans
  • Deliver consultations and track how your sleep responds over time
  • Answer your questions and schedule sessions
  • Process payments and issue invoices
  • Meet our legal, tax and record-keeping obligations

We do not sell, rent or trade your personal information. We do not use your health information to target advertising, and we do not train AI models on your data.

5.Who we share it with

We share only what is necessary, and only with service providers who help us run the programme:

  • Payment provider — to take payment and issue refunds
  • Video conferencing provider — to host consultations
  • Email and messaging providers — to communicate with you
  • Secure storage provider — to hold records
  • Accountants or auditors — where legally required

We may also disclose information where the law compels us to, or in the narrow safety situations described in our Terms & Conditions.

6.A note about WhatsApp

If you choose to use WhatsApp for support, those messages sit on infrastructure operated by WhatsApp and its parent company, governed by their own privacy terms rather than ours. Message content is end-to-end encrypted, but metadata such as your number and message timing is visible to them.

If you would rather not use WhatsApp for health information, tell us and we will use email or keep everything within scheduled sessions instead.

7.Storage and security

Records are stored on access-controlled, password-protected systems, and we limit access to those who need it to deliver your programme.

No system is perfectly secure. If a breach occurs that is likely to affect your rights, we will notify you and the relevant authority as required by law, without undue delay.

8.How long we keep it

We keep consultation records for as long as professional and legal record-keeping obligations require, and financial records for the period tax law requires. After that, records are securely deleted or anonymised.

If you would like to know the specific retention period that applies to your records, ask us and we will tell you.

9.Your rights

You can ask us to:

  • Give you a copy of the information we hold about you
  • Correct anything inaccurate or incomplete
  • Delete your information, where no legal or professional duty requires us to keep it
  • Withdraw your consent to our processing
  • Restrict how we use your information, or object to a particular use
  • Provide your information in a portable format

Write to shivli@betterspace.care and we will respond within 3 working days and complete the request within the period the law allows. We may need to verify your identity first.

If you are not satisfied with how we handle your request, you can escalate to the relevant data protection authority in your country.

10.Cookies

This site uses only what is needed to function and to understand aggregate performance. We do not run advertising or cross-site tracking cookies.

You can block or delete cookies in your browser settings; the site will still work.

11.Children

The programme is intended for adults. We do not knowingly collect information from anyone under 18 without a parent or guardian arranging the programme and providing consent. If you believe a child has given us information directly, contact us and we will delete it.

12.International transfers

Some providers we rely on may process data outside your country. Where that happens, we take reasonable steps to ensure comparable protection applies to your information.

13.Changes to this policy

We will update this page when our practices change and revise the date at the top. If a change materially affects how we handle your health information, we will tell you directly.
